We kindly request you to read our terms and conditions carefully before booking your trip with us. These terms and conditions come into effect from the date you make your booking with Alpine Adventure Club Treks & Expedition.
Bookings can be made directly through our website.
Trip prices are listed in USD. If you choose to pay in a different currency, the exchange rate determined by the Central Bank of Nepal on the date of payment will be used for conversion.
To confirm your booking, you can either use our online booking system or request a manual booking form via email. A non-refundable deposit of 25% of the total trip cost is required to secure your reservation.
For trips in Nepal, the remaining balance must be paid during the pre-trip meeting upon your arrival. Alternatively, you may pay the full amount in advance via credit card or bank transfer.
To confirm your booking, either complete the online process or request a manual form via email. A non-refundable deposit of 50% of the total trip cost is required.
The balance must be paid in USD via credit card or bank transfer no later than 25 days prior to the trip's departure date.
For Nepal trips, we accept last-minute bookings up to 2 days before the start date, depending on availability. Full payment is required at the time of booking and is NON-REFUNDABLE.
For Bhutan, Sikkim, and Tibet trips, last-minute bookings may be accepted up to 25 days before departure, based on availability. Full, NON-REFUNDABLE payment is required upon booking.
Alpine Adventure Club Treks & Expedition accepts the following payment methods:
Payments via VISA and Mastercard are accepted. A 3.5% processing fee applies.
A secure online payment platform supporting multiple currencies (USD, EUR, GBP, AUD, CAD) with a 3.5% processing fee for VISA and Mastercard.
Clients are kindly requested to make payments via wire transfer or direct deposit using the bank details provided below. Please note that clients are responsible for any transaction fees incurred during the transfer:-

Accepted in USD, EUR, GBP, AUD, CAD, etc. Bills must be clean, undamaged, and in denominations of $50 and $100. USD bills older than the 2009 series will not be accepted.
Cancellations must be submitted via email at least 25 days before the trip starts. Approval is required for cancellations to be processed.
If canceled 25 days or more before departure, 25% of the trip price will be retained and the rest refunded. If only the 25% deposit was paid, no refund will be issued.
For cancellations made with less than 25 days’ notice, no refund will be provided. We can offer documentation to support travel insurance claims.
To cancel, provide written notice via email at least 35 days before the trip. Approval is needed.
If canceled 35 days or more in advance, 50% will be deducted and the rest refunded. If only the 50% deposit was paid, it is non-refundable.
If cancellation occurs with less than 35 days’ notice, there will be no refund. We will provide necessary documentation for insurance claims.
Requests to reschedule must be sent in writing at least 25 days before the original or new departure date, whichever is earlier.
A fee of USD 200 per person applies for postponing, rescheduling to an earlier date, or transferring the trip to another person. If you choose to transfer your booking, it is your responsibility to find a suitable replacement.
Written notice is required at least 35 days before the original or new departure date, whichever is earlier.
A fee of USD 500 per person applies for trip postponement, rescheduling to an earlier date, or transferring your booking. You are responsible for arranging a substitute traveler.
If a trip is not completed for any reason on the client's part, no refunds will be issued for unused meals, accommodations, or services. Additionally, any unlawful acts by the client that result in trip termination will void all refund claims.
A valid passport (valid for 6 months after return) is required. Visas can be obtained from the Nepalese consulate or upon arrival in Kathmandu. Visa costs are the client's responsibility.
Complete the visa form online via the Department of Immigration website. The form is valid for 15 days, so submit it within that window before arriving. Carry a printed receipt to show to immigration on arrival.
A valid passport with 6 months of remaining validity is required. Alpine Adventure Club Treks & Expedition will handle all permits and visa arrangements, and the cost is included in the trip. Required documents (passport scan, photo, insurance, etc.) will be collected during booking.

Indian Visa: You are responsible for obtaining your Indian visa through the Indian embassy or consulate.
Permits: Alpine Adventure Club Treks & Expedition will handle all necessary permits for your tour in Sikkim.
All trips comply with the rules of Nepal, Bhutan, Sikkim, and Tibet. However, Alpine Adventure Club Treks & Expedition is not liable for itinerary changes due to uncontrollable circumstances like government policies, political unrest, natural disasters, health issues, weather delays, etc.
Any extra expenses from such events must be borne by the client. We strongly recommend purchasing comprehensive travel insurance.
Travel involves risks, including injury, illness, property loss, or death due to natural forces, altitude, travel conditions, etc. By booking, you accept these risks and agree that Alpine Adventure Club Treks & Expedition and its staff will not be held responsible for injuries, losses, or damages.
Comprehensive travel insurance is mandatory. It should cover medical emergencies, cancellations, rescue, lost gear, natural disasters, and theft. Alpine Adventure Club is not responsible for any costs not covered by your policy.
Delays and cancellations on domestic flights (especially in mountainous regions) are common due to weather.
We advise adding 1–2 extra buffer days in your itinerary. If flights to/from Lukla are delayed or canceled, a shared helicopter ride may be necessary.
Clients are responsible for helicopter costs (approx. USD 550 per person, one way). This is in addition to any domestic flights. Documentation will be provided for insurance claims.
If a trip must be canceled or changed due to unforeseen events, we will offer an alternate trip of equal value or help you reschedule.
You must cover the cost of services already used. If the rescheduled trip is more expensive, the price difference will apply.
Trips are based on double occupancy. If no roommate is available, a single room supplement will be charged and communicated at booking. Alpine Adventure Club Treks & Expedition reserves the right to update trip prices at any time.
Please ensure that you are medically fit to participate in high-altitude treks or any other adventure activities. We strongly recommend consulting your doctor before traveling. Any medical conditions or disabilities must be disclosed at the time of booking.
My team and I will not engage in or cause any negative activities that could harm the company, Alpine Adventure Club Treks & Expedition. We will always behave in accordance with your culture and customs during the trip.
During your trip, our guides, staff, or photographers may take photos and videos. These materials may be used to promote our business on our website, social media, or other marketing platforms. If you do not wish to appear in any photos or videos, you must inform us before the start of the trip.
Our terms and conditions are applicable only if you book your trip with us directly. If you book your trip with us through any agents or third party, you shall be liable to their terms and conditions.
